How we handle your personal information when you enquire, become a customer, or simply browse this website.

Who we are
Alliance Maintenance Services is a family-run building, glazing and property maintenance business based in Rochdale, Greater Manchester, trading since 1998. We are the data controller for the personal information described in this policy.

What personal information we collect
When you use this website or work with us, we may collect:
- Enquiry details — your name, telephone number, email address, postcode, the type of work you are interested in, and anything you choose to write in the message box on our quote or contact forms.
- Technical details submitted with an enquiry — the IP address and browser information of the device used, recorded to help us prevent spam and abusive form submissions.
- Customer and project records — the information we need to plan, price, carry out and record work, held in our internal staff system.
- Photographs of completed work — taken on site and used on this website only where the images do not identify a customer or reveal a private address. Photographs containing identifying details are not published.
- Staff account information — email address and login credentials for members of our team who use our internal system.
We do not ask for payment card details through this website, and we do not knowingly collect information from children.
How we collect it
Directly from you: through the quote form, the contact form, telephone calls, email, messages sent to us on social media, and conversations during a site visit or job. We also record photographs of work we carry out. Our website itself does not run advertising or analytics tracking — see our Cookie Policy.
Why we use it, and our lawful basis
- To respond to enquiries and prepare quotes — our legitimate interests in dealing with a request you have made, and steps taken before entering into a contract.
- To carry out work and administer the job — performance of our contract with you.
- To keep business and accounting records — compliance with our legal obligations.
- To protect our website from spam and misuse, and to keep our systems secure — our legitimate interests.
- To show examples of our work on this website — our legitimate interests, using photographs that do not identify a customer or property. If you would prefer photographs of your project not to be used, tell us and we will remove them.
How long we keep it
We keep enquiry details for as long as needed to deal with the enquiry and for a reasonable period afterwards in case you come back to us. Customer and project records, including records needed for accounting and for any guarantee or warranty on the work, are kept for as long as we may need them for those purposes, and records required by tax law are kept for the period the law requires. Spam-prevention records created by our forms are short-lived and cleared automatically.
If you would like your information removed sooner, contact us and we will do so where we are not required to keep it.
How we protect it
Enquiries are submitted over an encrypted (HTTPS) connection. Records are held in a managed cloud database with access rules that restrict each record to authorised staff accounts. Our internal system is invitation-only — staff cannot self-register — every account has its own password, and permissions are limited by role, so team members only see what their role requires. Customer contact details captured through enquiries are restricted to administrators. Uploaded photographs are stored privately and are only served publicly once a member of staff publishes them as part of a project.
Your rights
Under UK data protection law you have the right to:
- ask for a copy of the personal information we hold about you;
- ask us to correct information that is wrong or incomplete;
- ask us to delete information where we no longer need it;
- ask us to restrict how we use it, or object to our use of it;
- ask us to transfer information you gave us to another provider;
- withdraw consent, where we relied on consent.
To exercise any of these, email sales@alliance-ms.co.uk or call 01706 299010. We will respond within one month.
If you are unhappy with how we have handled your information you can complain to the Information Commissioner's Office (ICO) at ico.org.uk or on 0303 123 1113. We would appreciate the chance to put things right first.
